EV and Hybrid Vehicle Documentation

Electric and hybrid vehicle shipments may require additional information, such as:

  • Battery type
  • Battery capacity, where available
  • Battery State of Health (SOH), where available
  • Charging equipment
  • Charging standards
  • Battery-related safety information
  • Transport declarations
  • High-voltage system information
  • Warranty or battery records, where applicable

Battery and transport requirements depend on the vehicle, carrier, route and destination. These requirements should be reviewed before booking shipment.

Our Document Review Process

Step 1: Confirm the Destination

Provide the destination country, city, port and importer or customs broker information, if available.

Step 2: Identify the Vehicle

Send the brand, model, model year, VIN or stock reference, vehicle condition and powertrain type.

Step 3: Review the Document Checklist

We help organize the available documents and identify items that may require confirmation from the destination authority, customs broker, carrier or importer.

Step 4: Check Information Consistency

Important information is compared across the document set, including:

  • Company names
  • Buyer and seller addresses
  • VIN or chassis number
  • Vehicle description
  • Model year
  • Quantity
  • Value and currency
  • Port and destination
  • Shipping terms

Step 5: Prepare Shipment Documents

The confirmed documents are coordinated with the vehicle, export process, transport method and shipment schedule.

Step 6: Complete the Final Review

The buyer or appointed customs representative should review the final document set before loading, departure or import clearance.

Document Responsibilities

The allocation of document responsibilities depends on the vehicle, destination, transport term and transaction agreement.

Documents That May Be Provided or Coordinated by the Seller

Depending on the order, the seller or exporter may provide or coordinate:

  • Export-related records
  • Inspection or condition report
  • Bill of Lading or transport document after shipment
  • Certificate of Origin, where available or required
