How Shipping Time Is Confirmed

Shipping time should be confirmed according to the specific route and shipment date.

The quotation or shipping plan may distinguish between:

  • Vehicle preparation time
  • Inland transfer time
  • Port or terminal handling time
  • Waiting time for vessel or train departure
  • Ocean or rail transit time
  • Transshipment time
  • Customs and destination handling time
  • Final delivery time

A transit estimate is not the same as a guaranteed delivery date. The confirmed schedule should be based on the carrier’s available sailing or train information at the time of booking.

Destination and Delivery Responsibility

Before placing an order, the buyer should confirm where the seller’s responsibility ends and where the importer’s responsibility begins.

Important questions include:

  • Is the quotation port-to-port or door-to-door?
  • Who arranges destination customs clearance?
  • Who pays import duties, taxes and local charges?
  • Who arranges destination delivery?
  • Who receives the vehicle at the port or terminal?
  • Who is responsible for storage or demurrage charges?
  • Which party provides destination import documents?

These responsibilities should be stated clearly in the quotation, order confirmation and applicable shipping documents.

FOB, CIF, DDP and DDU: What Is the Difference?

The applicable trade term should be selected according to the transaction structure, destination requirements and agreed responsibilities.

FOB

Under an FOB arrangement, the seller’s responsibility generally covers delivery to the agreed port and export procedures up to the point specified by the applicable trade term. Main carriage, insurance and destination import procedures are generally arranged by the buyer, subject to the exact contract terms.

CIF

Under a CIF arrangement, the seller generally arranges the main carriage and insurance to the named destination port. Import clearance, duties, taxes and destination delivery are generally handled by the buyer unless otherwise agreed.

DDP

DDP may involve the seller arranging transportation to the named destination and handling a broader range of delivery responsibilities, potentially including import clearance and local charges. Availability depends on the destination country, importer structure, customs requirements and service providers.

DDU

DDU is a commonly used commercial expression for delivery to a destination without including import duties and taxes in the seller’s responsibility. The exact responsibilities should be defined in the contract. Buyers should confirm whether the quotation is intended to reflect the current Incoterms® rules or another agreed delivery arrangement.

The quoted term, named place, included charges and excluded charges should always be checked before payment.
